Introduction
Schedule A Plane.com is an online scheduling system. It allows your members to view and reserve aircraft, Instructors and other resources online from any computer that has availability to the internet.
 
Features




Graphical interface make it easy to view availability of resources at a glance.

   
Graphical panels allow the Administrator to quickly configure general scheduling preferences:
- specify 15-min, 30-min, 1 hour or 90 min. time slots
- specify daily End and Start Times
- specify view after login, Day View, Week View, Month view or let your members choose.
- specify schedule view page or scheduler home page after login
- specify member reserved time slot color
- specify Maintenance reserved time slot color
- specify Instructor time off time slot color
- specify stage check reserved time slot color
- specify check ride reserved time slot color
- specify reservations made by Admins, assistance admins and super instructors display color
- display username, first name, last name or "none" (just the letter "R") in schedule view
- display Instructor user name, first name, first name with first initial of last name, or first name
- and last name in schedule view page
- view reservation information with mouse click or mouse over
- oTIS (online Terminal Information Service) Enter 4 letter airport identifier for weather
- specify user permission levels, Student/Pilot, Instructor, Assistant Admin and Administrator
- option to require a user to add a flight route to make a reservation
- option to require a user to add a reason for cancelling a reservation
- option to set "User can't delete/edit reservation within 24 hours"
- option to set "User can't cancel reservation"
- option to "Disable private messages"
- option for notification email when a reservation has been made
- option for notification email when a reservation has been canceled

Customize your scheduler by uploading your logo
   
Enter a logout location where users are redirected after they logout of the scheduler.
   
Use Guest auto login on logout.
   
Enter GMT time zone.
   
Custom link is profided for your website so users can login from your website.
   
Administrators can add users from control panel.
   
Administrators can use the "Send Invitation" box to send invitation to register emails.
   
Edit resource reservations.

Scheduling
   
Scheduling Functions
  Various schedule functions can be performed by the Administrator. The following table describes the various options under the "Scheduling" heading.

   
 
1 View Schedules This option takes you to "Schedule View". From this page you can see all available time slots and all reserved time slots.
2 Search Reservations This option allows you to search reservations for Aircraft, Instructors or a particular user. You can search a specific day or a multiple number of days.
3 Search Cancelled Reservations With the "Search Cancelled Reservations" option you can do a search on all cancelled reservations made by a User or a Instructor.
4 Search Open Times Use this function to search for all available open time slots for any particular resource.

Communications
   
Communication Functions
  Use the communications functions to inform users/members of upcoming events or important updates to your facility.
 
1 Send Private Messages Send a private message to any particular User or Instructor.
2 Send Email Send Email to All or to a select few. Choose All Intructors, Student/Pilots, Assistant Administrators or select from a list.
3 Bulletin Board A built in Bulletin Board for users to communicate with each other.
4 My Post View all of your own posts to the bulletin board.
5 Weather Information A page with many weather information links.

User Settings
   
User Functions
  Use the "Users" functions to set user level, search by first name, last name, user name or level.

 
1 User Profile This setting allows you to view all user details. Search members by, first name, last name, user name or user level. This is where you go to edit a user, send emails, private messages or to allow the user to make reservations.
2 User Level Setting This setting allows you to specify user search options, communication options, management options, maintenance options, resource and system options for all users and Instructors.
3 Phone Book This setting allows the Administrator to see all members phone and email information in a easy to read list.

Maintenace Settings
The admin can Down Aircraft and manage squawks through the admin control panel.

 
1 Down Aircraft This setting will allow the administrator to down aircraft for a selected date range. Entering a reason for maintenance and the ability to edit this information.
2 Squawks This setting will allow the administrator the ability to view and manage any "Squawks" that have been reported through the system.

Resources
Under the "Resources" heading, the admin can configure Aircraft, Instructors and Other Resources.

 
1 Aircraft This setting allows you to add aircraft to your fleet. Add categories, choose to use the Maintenance Details for a aicraft or not. You can put your aircraft and categories in a specified sequence. You can also edit the information for your aircraft from this page.
NOTE: Not all special characters may be used in resource names.
2 Instructors This setting allows you to Add Instructors, edit Instructors Details, view Instructor Off times, specify order of Instructors, delete an Instructor and view Instructors Username, Phone Number and Email address
4 Other Resources This setting allows you to add "Other Resources", such as headsets or cushions. Make these resources active and specify order of these resources. You can also edit the resources from this page.

System Settings
The administrator can configure Schedule View options, User Level Settings, Restriction Settings, Communication Settings, Custom Integration Settings and add users.

The following table describes the configurable resource fields settings:

 
1 Schedule View This setting allows you specify the default reservation time slot duration, display time, default view eg. Day, Week Month or let the user choose. The default reservation color, maintenance, company time off and Instructor time off colors. You can enter a 4 letter airport identifier for the oTIS function.
2 User Level This setting allows you to set user level default settings.
3 Restrictions This setting allows you to Require users to enter a Flight Route in order to make a reservation. Require user to enter a Reason for Cancellation. Option so user can't delete or edit within 24 hours of the reservation without contacting the front office.
4 Communication This setting allows you to have a Notification E-Mail sent when a reservation is added. Plus Notification E-Mail when a reservation is canceled. You can also set the option for users to see all other users contact information. Option for European or American date format.
5 Custom Integration Customize the look of the scheduler to match your company logo or web site. You can upload your logo to show in the top left corner and weblogin screen. If your logo does not fit the required parameters you can send us your logo and we will do our best to make it work. You can set a specific url to have users go to after they log out of the scheduler. You can also set your Time Zone.
6 Add Users This setting allows you to add users by filling in a form for them or to send them a invitation through the Invitation box. You can send multiple invitation by adding more than one email address. You can also add a link to your website for users to register.
